How to use Securitask (Company, Employee & Individual)

This guide explains how to use Securitask step-by-step. Follow the section that matches your role: Company/Admin, Employee, or Individual/Freelancer.

Getting started

Securitask has three main user types: Company (admin/manager), Employee (staff/guard), and Individual/Freelancer. Registration is done from the account type screen.

1) Create your account

Choose the correct account type.

  • Go to Login / Register.
  • Click Register, then choose Company or Individual.
  • Complete the form and submit.

2) Sign in

Use your email/PIN and password.

  • Enter your login details on the login screen.
  • If you forgot your password, use “Forgot Password”.
  • After login, you will be taken to your dashboard.

3) Know your navigation

Each role sees different modules.

  • Company users manage operations and finance.
  • Employees manage attendance, shifts, and field tasks.
  • Individuals focus on profile, jobs, and timesheets.

Company / Admin user guide

Company accounts are designed for security company owners, operations managers, and administrators. You can manage clients, sites, employees, rosters, patrols/check calls, and finance.

A) Setup (recommended order)

Start with structure first, then schedule.

  • 1.Create your company profile and settings.
  • 2.Add clients.
  • 3.Add sites/locations for each client.
  • 4.Add employees/freelancers and complete profiles.
  • 5.Upload documents and site instructions (if needed).

B) Shifts & roster

Build your rota and keep coverage under control.

  • Create shifts for each site and assign staff.
  • Review coverage and adjust schedules when needed.
  • Employees can view their assigned shifts.

C) Attendance & timesheets

Track worked hours accurately.

  • Monitor attendance and resolve missing/incorrect entries.
  • Use timesheets as the source of truth for payroll and billing.
  • Keep a clean record to reduce disputes.

D) Patrols, check calls & daily tasks

Operational accountability for field work.

  • Use patrol modules to track activity at sites.
  • Use check calls for guard verification and welfare.
  • Assign and review daily tasks.

E) Finance (payroll & invoices)

Turn worked hours into payments and billing.

  • Use Payroll to manage pay runs and statuses.
  • Create invoices per client and track paid/pending/overdue.
  • Keep finance data connected to shifts and attendance.

F) People management & compliance

Support your workforce and keep records organised.

  • Manage holidays and requests.
  • Handle uniform workflows and assets (where used).
  • Store documents and reports for auditing.

Employee user guide

Employee accounts are for guards and staff. You can view shifts, confirm attendance, follow site instructions, complete patrols/check calls, and access payroll-related information.

A) Profile & account

Keep your details accurate.

  • Open My profile and review your details.
  • Update password/account settings when required.
  • Check notifications for important updates.

B) View shifts & plan your week

Stay ready for upcoming assignments.

  • Use Shifts to view upcoming work.
  • Review site details and instructions before arriving.
  • Contact your manager if information is missing.

C) Attendance & timesheets

Confirm your hours and avoid payment issues.

  • Record attendance where required for your shifts.
  • Review your timesheet and report discrepancies early.
  • Keep your records complete for payroll processing.

D) Patrols & check calls

Operational tasks while on site.

  • Follow patrol requirements for the assigned site.
  • Complete check calls if your company uses them.
  • Use site instructions to follow correct procedures.

E) Reports, diary & safety

Record incidents and important updates.

  • Submit reports when incidents happen.
  • Use diary tools to log day-to-day notes where enabled.
  • Use health & safety and accident forms if needed.

F) Jobs & opportunities (optional)

Browse jobs and vacancies if enabled.

  • Job Board lists available opportunities.
  • Job Vacancies can show internal or company roles.
  • Apply and track your job activity (where available).

Individual / Freelancer user guide

Individual accounts are for freelancers and independent staff. You can manage your profile, browse jobs, and track your time where applicable.

A) Create your profile

Make it easy for companies to assign you work.

  • Complete your profile with contact details.
  • Keep information accurate for onboarding.
  • Update your availability if your company requires it.

B) Onboarding

Finish required steps before starting work.

  • Follow onboarding steps requested by a company.
  • Provide required details and confirm your information.
  • Keep an eye on messages/notifications.

C) Jobs board

Find work opportunities.

  • Browse jobs and vacancies from the Jobs section.
  • Review job details and apply (where available).
  • Track your job activity when enabled.

D) Timesheets

Keep your hours clear and accurate.

  • Use the timesheet features provided in your workspace.
  • Submit and review hours to avoid delays in payment.
  • Contact the company if anything looks incorrect.
